Payment of fees
The Rebalance Clinic invoices for each clinic appointment on the day of treatment unless you are receiving treatment through a company scheme. Where possible we expect settlement at the time of treatment. If this is not possible, settlement is required within 14 days of invoicing. Bad debt is a serious risk to small businesses, so when we experience difficulties in recovering fees from individual patients we will ask for appointments to be pre-paid at the time of booking. Please call us for clarification.
We accept all major debit and credit cards (Maestro, Visa, Visa Debit, Visa Electron, Mastercard, Mastercard Debit, AMEX) as well as BACS and cash.
Cancellation and failure-to-attend fees
Clinic services and Pilates | We require at least 24 hours notice for an appointment to be changed or cancelled.
We often have patients waiting for an immediate appointment; failure to notify us in good time means other patients miss available appointments. Cancellations also have cost implications for the practice. Although discretion will be used, the full charge will be made if you fail to give adequate notice of your cancellation.
Failure to attend an appointment OR cancellation of an appointment with less than 24 hours notice: the full fee will be charged.
Recurrent cancellations at short notice:
Pre-payment will be required at the time of booking
Yoga classes | you can cancel up to 10 hours before your morning class, without charge.
Private medical insurance
Not all insurers cover all of our practitioners. At the time of booking, please telephone the clinic to check your practitioner is covered by your health insurer.
We are registered with major health insurers including:
AVIVA (Norwich Union)
PruHealth
Cigna
WPA
We are not currently covered by AXA/PPP or BUPA.
Please note:
Your private medical insurance is a contract between you and your insurance company and is for your health protection, convenience and peace of mind. We provide services that most private health insurance companies are happy to cover, however we can only provide services that your cover entitles you to under your particular policy.
If you use a private medical insurance policy, you must contact them prior to your visit to confirm you and the type of treatment are covered. If you are not covered for some or all of your treatment it would be necessary to invoice you directly under the terms above.
For your convenience, we can generally invoice our fees directly to your insurer, meaning less paperwork for you and no need for a direct payment. However, in some circumstances it may be beneficial for you to pay directly at a discounted rate (arranged with your Osteopath) in the event that you have a ‘capped’ limit set by your insurers, as this could enable you to receive more treatment than if we invoice the company directly.
To invoice your insurer, we’ll need your:
policy number(s)
claim reference or authorisation code
Please also consider whether you need to pay your insurance company an excess payment on your claim (similar to a car or holiday insurance claim) and what financial limit the insurer may put on your cover for treatment (this is usually a monetary value or a time limit on when treatment must be completed by). Please contact your insurance company for advice.
We hope this helps with what can be a quite complex issue.
